We’ve written this notice in plain English so you can understand exactly what data Airia collects, why, who sees it, and what you can do about it – without needing a law degree.

TL;DR
We collect only what we need to run our services and improve them. We do not use your prompts, files, or outputs to train our AI models. We use third-party ad trackers (Meta and LinkedIn) and the Apollo visitor-identification tool only after you give consent via our Cookie Preference Center. You can withdraw consent at any time.
2. Who We Are
Airia LLC, a Delaware limited liability company, is the data controller for information collected through our websites and services.

If you’re a business using Airia for your own customers, Airia acts as your data processor — not controller — for that data. Your Data Processing Addendum with Airia governs that relationship.
3. What We Collect & Why
Types of Information
- Account registration: Your username, email address, password, and optional profile details.
- Payment: Billing name, address, and payment card details. Card data goes directly to our payment processor — Airia never stores raw card numbers.
- Support requests: Anything you include in a ticket, chat, or email — descriptions, screenshots, contact details
- Forms & surveys: If you fill out our demo request, contact, or feedback forms, we collect your name, email, company, and phone number.
- Content you create: Prompts, files, and outputs you generate or store inside Airia Services. Used only to deliver the features you asked for (see Section 3(e) on AI model training).
Information collected automatically
- Device & connection data: IP address, browser type, operating system, device identifiers, and crash/debug logs.
- Usage data: Pages visited, time on site, referring URLs, and feature interactions — used to improve our services.
- Cookies and tracking technologies: See Section 4 for a full breakdown, including named third-party trackers.
- Visitor identification: When you visit airia.com and consent to this via our Cookie Preference Center, Airia uses a third-party script (Apollo.io) that attempts to identify which company (and for US-based visitors, which specific named individual) is browsing, by matching your IP address against Apollo’s B2B contact database. This may include your name, job title, employer, email address, and the specific pages you viewed. This tool does not load unless you actively consent.
Information from third-party integrations
- Connected apps: If you or your admin connect an external service (e.g., Slack, Salesforce), that service may share relevant data with Airia to power the integration. Their own privacy policies apply.
- Other users: A colleague may provide your email to invite you or reference your name in a support ticket.
What we don’t collect
- Sensitive data: We don’t collect health records, biometric data, racial or ethnic origin, political opinions, religious beliefs, or sexual orientation. If such data is inadvertently submitted (for example, in a support message), we will delete it promptly and not process it further.
- Children’s data: Our services are not for anyone under 16 (or 13 where local law permits). See Section 9 for more information.
AI model training
- We do not use your prompts, files, or AI outputs to train or fine-tune Airia’s AI models
- Airia will not use your content added to the Airia platform to train any models. This excludes any model brought into the platform by a customer.
Lawful bases
For each purpose, Airia relies on one of the following legal grounds:
- Contract: Processing is necessary to provide the service you’ve signed up for.
- Legitimate interests: Security monitoring, fraud prevention, product analytics, and direct marketing to existing customers are balanced against your rights. You can request additional details for any specific activity by emailing [email protected].
- Consent: Non-essential cookies, marketing emails, and targeted advertising. You can withdraw at any time.
- Legal obligation: Retaining certain financial records, responding to lawful requests.
Note
For users in the EU, UK, Brazil, Canada, India, Singapore, or other jurisdictions with similar frameworks, you can ask us at any time which legal basis we rely on for a specific processing activity. Email [email protected].
4. Cookies & Tracking Technologies
Cookies are small files stored on your device. We use them to keep you logged in, understand how people use our site, and, only with your consent, serve relevant ads and identify visiting companies.

Strictly necessary cookies load automatically. Every other cookie, including analytics and advertising pixels, only loads after you give consent via our Cookie Preference Center. You can change your choices at any time.

Global Privacy Control (GPC): If your browser sends a GPC signal, Airia treats it as a valid opt-out of the sale or sharing of your personal information under CCPA/CPRA.
This goes beyond cookies.
The Apollo snippet matches your visit in real time against an external database of business contact information (Apollo is a registered data broker in California, Oregon, Texas and Vermont). If you are a US-based visitor, this may result in a named individual profile being created about your browsing activity and your details being enrolled in Airia’s sales outreach. You can opt out of Apollo’s database at any time at: https://www.apollo.io/privacy-policy/remove.
5. Who We Share Your Data With
We don’t sell your personal data. We share it only in these specific circumstances:

6. How Long We Keep Your Data
We only hold onto your personal information for as long as we need it; whether that’s to provide our services, run our business, or meet legal requirements. When figuring out how long to keep it, we consider what kind of information it is, how sensitive it is, why we collected it in the first place, and what the law requires us to do.
7. Your Rights
Depending on where you live, you have some or all of the following rights. We respond within 15 days (Brazil) 30 days (EU, UK, Canada, Singapore) or 45 days (USA). The contact information for all rights requests is [email protected].

8. International Transfers
Airia is based in the United States. If you use Airia from outside the United States, your data will be transferred, stored in, and processed in the United States and in other countries where our service providers or we operate. These countries may have data protection laws different from those in your country. Where required by applicable law, we implement appropriate safeguards to protect your personal data in connection with international transfers, which may include:
- EU-U.S. Data Privacy Framework (DPF): Airia is certified under the EU-U.S. DPF and UK Extension. View our certification at dataprivacyframework.gov. Unresolved DPF complaints may be escalated to ICDR-AAA (go.adr.org/dpf_irm.html) free of charge. As a last resort, you may invoke binding arbitration under DPF Annex I.
- Standard Contractual Clauses (SCCs): Where applicable, we use EU Commission-approved SCCs with all vendors who process EU/UK personal data outside those regions, including the UK International Data Transfer Addendum.
- Other safeguards: For transfers from other jurisdictions, we rely on legally recognized transfer mechanisms or contractual protections as required by applicable law. You may contact us at [email protected] to request more information about the safeguards we use.
9. Children
Airia Services are not intended for anyone under 16 years old. This is the standard we apply globally to meet GDPR’s higher threshold. Where a specific jurisdiction requires a higher age of protection, we apply the more protective local standard for users in those jurisdictions. We do not knowingly collect personal data from children.
If you’re a parent or guardian and believe a child’s data has been collected in error, email [email protected] and we’ll delete it promptly.

How we handle updates
We may update this policy from time to time. The “Last updated” date at the top of this page will always reflect when the most recent changes were made — so that’s the best place to check.
What this notice doesn’t cover
Third-party websites or services linked from Airia operate under their own privacy policies. This notice also doesn’t cover Airia’s processing on behalf of enterprise customers governed by a Data Processing Addendum.
